Who it’s for

AI meeting scheduler for trainers

You are mid-session at 6am, not answering scheduling email. The replies draft themselves with real openings, and you approve every send between clients.

What it does in practice

  • A lead emails about getting started. You CC scheduler@buildoutschedule.com between sessions, approve the drafted reply with real assessment slots, and when the lead answers with a pick the consult books itself.
  • A client replies "travel week, need to move Tuesday" and gets three open slots back. One tap and the session moves instead of disappearing.
  • A client types "before work, any day" on your booking page and sees exactly the 5am and 6am openings.

The part that runs itself

CC your scheduler

A lead from the gym floor emails about getting started. CC your scheduler on the thread and the reply gets drafted with assessment slots that are actually open. You approve it, and when they answer with a pick the session books itself.

Booking in plain English

A client types "early mornings before work" on your booking page and sees exactly the 5am and 6am openings. No screenshot of your week.

Rebooking that runs itself

A client replies "can't make Thursday" and gets three open slots back. One tap and the session moves instead of disappearing.

A real scheduler underneath

Buffers between sessions so back-to-backs get reset time, minimum notice so nothing lands while you sleep, payment at booking through your own Stripe account, and reminders that cut the 6am no-shows.

You approve everything

Drafted replies wait in an approval inbox — approve, edit, or reject — and approved sends go out from your own email address. The times the AI offers come from the same availability rules as your public booking page: calendar conflicts, buffers, and minimum notice all hold. If it cannot find a real slot, it hands the thread back to you instead of guessing.

Common questions

Will the AI send anything without me seeing it?

No. Every scheduler@ draft waits in an approval inbox: approve, edit, or reject. Reschedule replies to clients only ever offer slots your availability rules say are open.

Can it book over a session I am already running?

No. Offered times come from the same availability engine as your booking page: calendar conflicts, buffers between sessions, and minimum notice all apply. If no real slot exists, it hands the thread back to you.

Does rescheduling keep the payment?

Yes. Moving a paid session keeps the booking and its payment intact. The time changes; nothing gets re-charged.

Is the AI a separate charge?

No. It is included in the plans with a monthly allowance of drafts, and the AI Unlimited add-on removes the caps if you outgrow them.
