Who it’s for
Meeting scheduler for coaches
Discovery calls, paid sessions, group programs — and the cancellations that eat coaching revenue, handled before you hear about them.
Where the time goes
- A no-show is an unbillable hour you prepped for.
- Booking over DMs makes you the front desk of your own practice.
- A Thursday cancellation leaves a dead slot no one else knows opened up.
- Charging for sessions by separate invoice adds a chase to every booking.

A real scheduler underneath
Where it fits
- The discovery-to-paid funnel: a free intro call and paid working sessions on one page.
- Group coaching with capacity caps and a waitlist that fills its own cancellations.
- Fitness coaches running class blocks beside 1-on-1 training, each with its own rules.
- Post-session follow-up drafts that wait for your approval before anything sends.
How coaches use Buildout Schedule
- 1
Put the funnel on one link
Free discovery call, paid session, group program — three event types, one page. Intake questions on the discovery call mean the first conversation starts at goals, not logistics.
- 2
Lead with results
Your Rep Card carries client outcomes with real numbers and the book button on the same page. The link you drop in a bio or a reply is the pitch.
- 3
Let cancellations fix themselves
Waitlists take the group-session churn, rebooking replies take the 1-on-1 churn, and reminders cut the no-shows that were never going to email you.
The Coach / Consultant template
The Coach / Consultant template starts you with the discovery-call funnel: free intro, paid sessions, and a results-first Rep Card.

Common questions
How does Buildout Schedule fill a canceled coaching slot?
Group sessions offer the spot to the waitlist with a first-in-line claim window. For 1-on-1s, the client’s reply to their confirmation email gets three real open slots back, one tap each to rebook.
Can I charge for sessions at booking?
Yes — paid event types charge through Stripe Checkout when the client books. Money settles to your own Stripe account, refunds follow your cancellation policy, and the platform fee is 0%.
Does it work for group programs?
Group event types carry a capacity cap and a waitlist. When someone drops, the spot offers itself to the next person in line — you do not manage the backfill.
What does the AI actually send?
Only what you approve. Scheduler drafts wait in an inbox; rebooking emails offer only slots your availability rules say are open. Nothing goes out on its own.
What does it cost?
The free plan has unlimited event types and unlimited bookings. Pro is $8 per user per month billed annually, Team is $12, and the first 100 users at each tier keep it free forever.
