Who it’s for
AI meeting scheduler for coaches
Cancellations, reschedules, and the booking back-and-forth: the churn between sessions, handled while you coach.
What it does in practice
- A client cancels Thursday’s session. The slot offers itself to your waitlist with a first-in-line window, and the hole fills before you see it.
- A 1-on-1 client replies "can we do next week instead?" and gets three real open times back. One tap and the session is moved.
- A prospect emails about getting started. You CC scheduler@buildoutschedule.com and approve the drafted reply offering discovery-call times.

You approve everything
Drafted replies wait in an approval inbox — approve, edit, or reject — and approved sends go out from your own email address. The times the AI offers come from the same availability rules as your public booking page: calendar conflicts, buffers, and minimum notice all hold. If it cannot find a real slot, it hands the thread back to you instead of guessing.

Common questions
How does the AI fill canceled sessions?
Canceled sessions go to the waitlist first when the session type carries one: a claim window offers the spot down the line automatically. Otherwise the client’s email reply gets three genuine open slots, one tap each to rebook.
Will it ever message a client on its own?
No. Scheduler drafts and follow-up drafts wait for your approval. Rebooking replies only offer slots your availability rules say are open.
Does plain-English booking work for my clients?
Yes. On your public booking page, a client can type "Tuesday evenings" and the slot grid narrows to exactly that. If the request is unclear, the full grid stays put.
Is the AI extra?
No, it is built into the plans, not sold as an add-on.
